WhatsApp Table Reservations: Booking, Capacity and No-Show Workflows

Design restaurant table reservations on WhatsApp with available slots, capacity checks, confirmations, changes and reminders.

Restaurant table reservations often begin with a simple question: “Can we get a table for six tonight?” The difficult work starts when staff must check capacity, record the request, prevent overlapping bookings and handle changes.

WhatsApp can be the booking interface, while a connected reservation system manages the commitments. A form submission should become a confirmed reservation only after the capacity check succeeds.

Collect the details that affect seating

A booking Flow can request outlet, date, preferred time, party size, name and relevant seating requests. Keep optional requests clearly separate from promises. A window table, high chair or private area may require staff confirmation.

Use the party size and expected table duration to determine suitable slots. A restaurant should decide how long each booking occupies capacity and whether it needs a buffer between parties.

Manage tables and time together

Counting available chairs is not enough. Two two-person tables may not accommodate a group of five, and an occupied table cannot be offered again before the previous sitting ends.

For a pilot, the restaurant can start with capacity allocated to each booking slot. More advanced layouts may need table assignments, combinations and staff overrides. Agree on the rules before building the customer screens.

Make the booking state explicit

Use distinct states such as requested, held, confirmed, seated, cancelled and no-show. If confirmation requires a manager, tell the customer that the request is pending. Do not issue a firm booking message simply because a form was completed.

Where instant confirmation is supported, reserve capacity atomically before returning success. If two people choose the same last slot, the second person should receive alternatives rather than another confirmation.

Handle reminders and changes

A reminder should include the restaurant, date, time, party size and a simple way to cancel or request a change. Send messages through the appropriate WhatsApp messaging route and approved templates when required.

A reschedule should secure the new slot before releasing the old one, or clearly explain the transition. Cancellation must release capacity promptly so the restaurant can offer the table to someone else.

Use deposits only with a clear policy

Some restaurants may want a deposit for large parties or peak dates. Show the amount, refund terms and cancellation deadline before payment. Connect the payment record with the reservation so staff can see what has been collected.

If a payment arrives after a reservation hold expires, route it to an exception queue. Do not assume the old table is still available. Deposit rules and payment handling are restaurant policies that the integration needs to implement.

Measure attendance rather than message volume

Track confirmed bookings, attended bookings, cancellations, no-shows and staff interventions. Compare similar service periods before claiming that reminders improve attendance. A busier weekend or different group mix can change the result.

Trikon can help design reservation forms, confirmation messages and staff workflows around the restaurant’s booking system. Start with one outlet and a clear capacity model. Add waitlists, deposits and complex table combinations only when the basic booking process is dependable.
